Administrative Assistant (Program Support Specialist)

Description


The Program Support Specialist is responsible for providing administrative and specialized support to the Foster Care and Cross System programs.


Essential Duties and Responsibilities



  • Prepares initial foster care licensing folders with all necessary paperwork and tabs to indicate each section.

  • Ensures all forms and paperwork necessary for licensure is copied and readily available to licensing specialist.

  • Completes all required checklists as documentation is gathered and organize into file.

  • References gathers contact information from application, copies reference letters, addresses and sends to reference. Receives references back, documents receipt, and places in file.


Four of these need to be completed and tracked for each new foster parent.



  • Criminal history checks

  • Using MyCase or court records, runs checks on each family member in a household and provides to Licensing Specialist.

  • Using CPS Portal, runs checks on each family member in a household and provides to Licensing Specialist.

  • Provides FBI fingerprint instructions to each family member in a household, 18 years or older.

  • Using the Sex and Violent Offender Registry, runs checks on each family member 18 years or older.

  • Runs checks for all individuals who will provide childcare for children placed in the home.

  • Runs BMV checks on all household members.

  • Prepares training folders for all participants.

  • Prepares training certificates for all participants one copy to participant, one copy to the file.

  • Using EventBrite or other app designated by FCS, announces all trainings and tracks responses for attendance, childcare needs, and meals.

  • Requests childcare and arranges to ensure proper coverage is present at the time of each training and support group.

  • Reserves and prepares rooms for support group and all trainings depending on numbers.

  • Orders food for support group and all trainings and ensures delivery.


Qualifications



  • Minimum of a high school diploma.

  • Minimum of two years experience in an administrative support role .

  • Ability to communicate orally and in writing with the culturally diverse population of youth and foster parents as well as referral sources and co-workers.

  • Ability to be a self-starter and possess strong problem-solving skills.

  • Must possess strong organization skills.

  • Manages time and works effectively with minimal supervision.

  • Effectively manages multiple priorities simultaneously.


Salary range : $15-$16 / hour
